What is a FlowBot?

A FlowBot is like a digital worker. Instead of hiring a human to repeat the same routine tasks, you get a FlowBot that follows instructions (called workflows) quickly, precisely, and at a fraction of the cost.

  • Each FlowBot costs under €10/month — compare that to human salaries starting at €50/month even in the lowest-wage countries.
  • FlowBots never get tired, never miss a step, and work around the clock.
  • Depending on the plan, FlowBots also have different speeds — from one task per minute on entry plans up to one task per second on higher plans.
  • When your team grows, you can add more FlowBots — and larger “hires” come with discounts.

Think of workflows as the instructions, and FlowBots as the workers who carry them out.

What is a Workflow?

A workflow is a sequence of actions, shown visually as data moving from block to block. Even complex algorithms become simple and clear — no programming knowledge required.

What is an Operation?

An operation is the complete execution of a single block within a workflow.

  • When a block processes data from start to finish, that’s counted as one operation.
  • No matter how many calculations happen inside the block, it all counts as a single operation.

What is a Task?

A task is a full run of a workflow.

  • Each time a workflow is executed, that’s a new task.
  • Inside that task, many operations can happen, but the whole bundle is treated as one task.

What is Task Queue Size?

The task queue is a buffer where requests wait if your FlowBot is temporarily overloaded. It ensures that short-term traffic spikes don’t lead to lost tasks — everything stays in line until the FlowBot can process it.

Each pricing plan has a limit on queue size. If too many requests pile up and it becomes clear that a FlowBot won’t be able to handle them in a reasonable time, storing them in the queue no longer makes sense.

  • Short bursts of load? The queue helps you survive them.
  • Constant overload? That’s a sign you should upgrade to a higher plan or add more FlowBots.

How do I know how many FlowBots I need?

If you’re unsure, start small. The free plan includes 1 FlowBot with limited capacity.

DigitalBPM is built to handle all incoming requests. If your FlowBot can’t keep up instantly, tasks are queued and executed as soon as the FlowBot is free.

You also get a dashboard showing whether your FlowBot’s capacity is enough. If you see load spikes, you can upgrade anytime by adding more FlowBots to speed things up.

Why pay per FlowBot instead of per Task?

Other services charge per task, but that model is unpredictable — it’s hard to know in advance how many tasks you’ll need. This can cause unexpected bills or, worse, work interruptions when your quota runs out.

We’ve taken a different approach:

  • You pay per FlowBot with a clear monthly capacity.
  • Costs are easy to forecast — no hidden surprises.
  • Tasks never disappear. If the FlowBot is busy, they wait in a queue and are processed as soon as possible.

The task numbers shown in our plans are approximate, based on continuous operation throughout the month.

Can I use the service for free?

Yes. Signing up is free, and you get a default plan that doesn’t require payment or billing details.

Can I change my subscription plan?

Yes. You can switch plans anytime. Your monthly cost will simply adjust to the number of users and FlowBots you choose.

Can I cancel my paid subscription?

Yes. You can cancel anytime. We’ll credit your account with unused funds so you can return later without losing value.

Do you provide discounts?

Yes. On annual plans, we offer a 20% discount (the equivalent of about 2 months free). For larger teams hiring multiple FlowBots or committing for longer terms, the discount can be even higher. Contact our sales team to discuss special terms.

Is my data secure?

Absolutely. All data is processed securely and encrypted. FlowBots only use the information required to complete your tasks — they don’t “store” your data outside of workflow execution.

For your convenience, we keep an execution log where small fragments of data may appear. These logs exist only to help with debugging errors or reviewing past task runs. Logs are automatically deleted after 3 months, ensuring your information does not remain in the system longer than necessary.

What services can I connect?

Right now, DigitalBPM supports around 35 integrations — CRMs, email services, messengers, payment systems, and more. But we’ve started rapidly expanding, growing our team, and adding new services every week. Within a year, you can expect 1,000+ integrations available on the platform.

And if you don’t see the service you need, you can request it — we usually add new integrations within one week. We’re also working on a tool that will allow users to add their own apps if they prefer to do it themselves.

What if my workload grows?

No problem. You can add extra FlowBots or switch to a higher-capacity plan anytime. Workflows keep running smoothly, and every task stays safe in the queue until processed.
